Privacy Policy

Voco ("Voco", "we", "us") is operated as a sole trader by James Hutchinson. This policy explains what personal data we collect through speakwithvoco.com and the Voco app, why we collect it, who we share it with, and what control you have over it.
1. What we collect
To provide the service, we collect and store:
- Account details — your name and email address.
- Profile and preferences — the language you're learning, your level, your motivation for learning, the topics you're interested in, your chosen AI conversation partner, and your weekly practice goal.
- Conversation data — the audio you speak during a session is converted to text and processed to generate a reply; the resulting transcript (what you said and what the AI said) is stored so you can review it and so the AI can remember earlier conversations. We do not keep the raw audio recording of your voice once a session ends.
- Memory and progress data — facts the AI has picked up about you in conversation (for example, that you're planning a trip, or your job), your vocabulary and grammar history, session length and word counts, and any Learning Path you've built.
- Payment data — if you subscribe or make a one-off purchase, your payment is handled entirely by Stripe. We never see or store your full card details; we keep a record of what was purchased and when.
- Usage data — which pages and features you use, session timestamps, and basic device/browser information, so we can fix bugs and understand what's working.
2. How we use it
- To run live spoken conversations and generate feedback on them.
- To remember who you are between sessions, so conversations build on each other instead of starting from zero every time.
- To personalise difficulty, topics, and the corrections you're shown.
- To process payments and manage your subscription or purchases.
- To send you emails about your account, your progress, and (if you don't opt out) occasional re-engagement or product emails.
- To diagnose bugs and improve the product.
3. Who we share it with
We don't sell your data. To operate the platform, parts of your data are sent to the following third-party processors, strictly as needed to provide the service:
- Anthropic (Claude) — processes conversation transcripts to generate the AI's spoken replies, feedback, and grammar corrections.
- Deepgram — converts your spoken audio into text in real time.
- ElevenLabs — converts the AI's text replies into spoken audio.
- Google Firebase — hosts our database and handles account sign-in.
- Stripe — handles all payment processing.
- MailerLite — sends account and re-engagement emails, using your name, email, and basic progress data.
- Railway — hosts our backend server.
Each of these providers processes data under their own privacy policy and only for the purpose of providing their service to us. We do not permit any of them to use your data for their own purposes.
4. How long we keep it
We keep your account and conversation data for as long as your account is active, so the platform can keep remembering you and showing your progress over time. Memory facts are periodically pruned to keep the most relevant and recently confirmed ones. If you delete your account, everything tied to it is deleted within our systems (see Section 6).
5. Where your data is stored
Your data is stored with our infrastructure providers (Google Firebase, Railway), which may process data outside the UK/EEA. Where that happens, those providers maintain their own standard contractual safeguards for international transfers.
6. Your rights
You can, at any time:
- View, edit, or delete individual memory facts from your Dashboard.
- Request a copy of the personal data we hold about you.
- Permanently delete your account and all associated data, from Settings, or by emailing us — this removes your profile, sessions, transcripts, memory, and progress data from our systems.
- Unsubscribe from marketing/re-engagement emails via the link in any such email, without affecting account emails needed to run the service.

7. Children
Voco is intended for adult learners and is not directed at children under 16. We do not knowingly collect data from anyone under that age.
8. Changes to this policy
We may update this policy as the platform changes. If we make a material change, we'll update the date at the top of this page.
